BitoBooks is a financial management platform designed to help businesses manage their financial data efficiently.
What Can You Do With BitoBooks?
How to Log In
Go to Login Page
Navigate to the BitoBooks login page in your browser.
Enter Email
Enter your registered email address.
Complete Security Verification
Complete the slider captcha verification.
Enter OTP
Check your email for the One-Time Password (OTP) and enter it to access your account.
User Roles
BitoBooks has two types of users:
Admin
Full access to all features including company management, user management, and configuration settings
User
Access to view and work with financial statements but cannot access administrative settings
Bank Statements
The Bank Statements page allows you to upload, view, and manage your company's bank transaction data. You can categorize transactions, add comments, and organize your financial records.
Viewing Bank Statements
Navigate to Statements
Go to Statements > Bank Statements from the menu.
Select Company
Select a company from the "Choose Company" dropdown.
View Data
The bank statement data will load automatically. Use date filters for specific periods.
Uploading Bank Statements
Upload Process
First, click "Download Format" to get the Excel template. Fill in your bank transaction data in the template. Select a company from the dropdown. Click "Upload Statement" and choose your filled Excel file. The transactions will be imported and displayed in the table.
Filtering by Date
- Select the "From" date using the first date picker
- Select the "To" date using the second date picker
- Click the "Filter" button to apply the date range
- Click "Reset" to clear the date filters
Categorizing Transactions
How to Categorize
Find the transaction you want to categorize. Click on the "Categorize" dropdown in that row. Select the appropriate category. Choose a subcategory if available. The categorization is saved automatically.
Adding Comments
Locate the transaction in the table, click on the "Comment" field for that row, type your comment, and it's saved when you click outside the field.
P&L Statements
The P&L (Profit & Loss) Statements page displays your company's profit and loss data. It shows your income, expenses, and calculates your net profit automatically based on your categorized bank transactions.
Viewing a P&L Statement
Navigate to P&L
Go to Statements > P&L Statements from the menu.
Select Company
Select a company from the "Choose Company" dropdown.
Choose Time Period
Select a time period from the available options.
Generate Report
Click "Get Statement" to generate the report.
Time Period Options
Year to Date
From January 1st to today
Last Year
Previous full year
Quarter to Date
Current quarter
Last Quarter
Previous quarter
Custom Period
Select specific start and end dates
Download & View Options
Download as PDF
Generate your P&L statement first, then click the "Download as PDF" button. The PDF will be downloaded to your computer.
Toggle Views
Switch between Table View to see data in a table format, or Visual View to see charts and graphs.
P&L Projection
The P&L Projection page helps you forecast future financial performance based on your historical data. It uses growth rate calculations to predict future income and expenses.
Generating a Financial Projection
Navigate to Projection
Go to Statements > P&L Projection from the menu.
Select Company
Select a consolidated company from the dropdown.
Choose Projection Period
Select from: This Year, This Quarter, Next Month, Next Quarter, or Next Year.
Select Methodology
Choose how to calculate growth rate: Last 1, 3, 6, or 12 Months.
Run Report
Click "Run Report" to generate the projection.
Which Methodology Should I Choose?

Balance Sheets
The Balance Sheets page displays your company's financial position, showing assets, liabilities, and equity for any given year.
Viewing a Balance Sheet
Navigate to Balance Sheets
Go to Balance Sheets from the menu.
Select Company & Year
Select a company and year from the dropdowns.
Get Report
Click "Get Report" to view the balance sheet.
Creating a New Balance Sheet (Admin Only)
Create Balance Sheet
Go to Balance Sheets page and click "Create New". Fill in the balance sheet form with: Share Capital, Surplus, Trade Payables, Other Current Liabilities, Tangible Assets, Intangible Assets, Trade Receivables, Cash and Bank Balances. Submit the form to save.
Cash Flow
The Cash Flow page shows how money moves in and out of your company, organized by operating activities, investing activities, and financing activities.
Viewing a Cash Flow Statement
Navigate to Cash Flow
Go to Statements > Cash Flow from the menu.
Select Company & Year
Select a company and year from the dropdowns.
Run Report
Click "Run Report" to generate the cash flow statement.

Companies
Admin Only
The Companies page allows administrators to add, edit, and manage company profiles in BitoBooks.
Adding a New Company
Navigate to Companies
Go to Configuration > Companies from the menu.
Click Add Company
Click the "Add Company" button.
Enter Company Details
Fill in: Company Name, Country, State, Currency, Tax Rate (optional).
Save
Click "Save" to create the company.
Managing Companies
Edit a Company
Go to Companies page, find the company, click "Edit", update details, and click "Save".
Deactivate a Company
Find the company, click "Deactivate", confirm. The company moves to the "Inactive" tab.
Categories
Admin Only
Categories help organize your financial transactions. They are used to classify income and expenses in your P&L statements and cash flow reports.
Example Categories
Adding a New Category
Add Category
Go to Configuration > Categories from the menu. Click "Add Category". Enter the category name. Click "Add Category" to save.
Adding a Subcategory
Add Subcategory
Go to Categories page. Find the category where you want to add a subcategory. Click "Add Subcategory". Enter the subcategory name. Select the type (Revenue or Expenses). Click "Add Subcategory" to save.
Financial Metrics
Admin Only
Financial Metrics allow you to track key business performance indicators like customer growth and churn rate on a monthly basis.
Entering Financial Metrics
Navigate to Metrics
Go to Configuration > Financial Metrics from the menu.
Select Year & Month
Select the year and month from the dropdowns.
Enter Metrics
Enter: Number of New Customers Added, Number of Customers Served, Churn Rate (%).
Submit
Click "Submit" to save the metrics.
User Management
Admin Only
Manage user accounts, add new users, and control access to BitoBooks.
Adding a New User
Navigate to Users
Go to Configuration > User from the menu.
Click Add User
Click the "Add User" button.
Enter User Details
Fill in: First Name, Last Name, Email Address, User Type (Admin or User).
Save
Click "Save" to create. The new user will receive login credentials via email.
Managing Users
Deactivate a User
Find the user in the list, click "Deactivate". The user will no longer be able to log in.
Reactivate a User
Find the deactivated user, click "Activate". The user can now log in again.
Filtering Users
Use the dropdown filters in the table header:
- Type: Filter by Admin or User role
- Status: Filter by Active or Inactive status
Guided Tours
When you visit a page for the first time, BitoBooks shows you an interactive guided tour that explains the key features of that page.
Tour Controls
- Next: Move to the next step
- Back: Go to the previous step
- Skip Tour: Close the tour immediately
- Finish: Complete the tour on the last step
Restarting a Tour
Restart Tour
Look for the info icon button in the top navigation bar. Click the info icon. The page will reload and the tour will start again.

- Set up categories first: Create categories and subcategories that match your business structure before uploading bank statements
- Use consistent naming: Keep company and category names consistent for easier reporting
- Categorize regularly: Categorize transactions weekly or daily to keep your data organized
- Add comments: Use comments to note important details about transactions
Getting Accurate Reports
Report Accuracy
- Upload complete data: Make sure all transactions are uploaded for accurate P&L and cash flow reports
- Check categorizations: Verify that transactions are categorized correctly before generating reports
- Use appropriate date ranges: Select the correct time period for your reports
- Review consolidated settings: Ensure "Show in consolidated" is correct for each transaction

General Questions
Some features are only available to Admin users. If you need access to company management, user management, or category configuration, contact your administrator.
Check: 1) Correct company selected, 2) Date range includes your transactions, 3) Transactions are properly categorized, 4) "Show in consolidated" is enabled for consolidated reports.
Contact your system administrator to reset your password.
Yes! You can download P&L statements as PDF files. For other data exports, contact your administrator.
