BitoLink is a team collaboration platform that brings together messaging, audio calls, screen sharing, and task management in one place. Whether you're working remotely or in the office, BitoLink helps your team stay connected and organized.

How to Log In

Open BitoLink

Open BitoLink in your browser or desktop app.

Enter Your Email

Enter your registered email address.

Send OTP

Click "Send OTP" to receive a verification code.

Enter Code & Verify

Check your email for a 6-digit code, enter it and click "Verify".

Tip: The OTP expires after 10 minutes. If it expires, click "Resend OTP" to get a new code.

First Time Setup

After your first login, we recommend:

  • Set your profile picture - Click on Settings > Profile to upload a photo
  • Update your display name - Make it easy for teammates to recognize you
  • Set your status - Let others know if you're available
  • Join channels - Browse and join channels relevant to your work
  • Customize your theme - Choose light or dark mode in Settings > Appearance

Direct Messaging

Send private messages to your team members for one-on-one conversations.

Starting a Conversation

Click "Direct Messages"

Find "Direct Messages" in the sidebar.

Click the "+" Button

Click the "+" button or "New Message".

Select Team Member

Search for and select a team member.

Send Message

Type your message and press Enter to send.

Mentioning Team Members

Using @Mentions

Type @ followed by their name, select the person from the dropdown. They will receive a notification.

Example: Hey @john.smith can you review this?

Adding Reactions

Show your response without typing:

  • Hover over any message
  • Click the emoji icon (or the "+" for more options)
  • Select an emoji reaction
  • Your reaction appears below the message

Sending Files

Attach Files

Click the attachment icon (paperclip) in the message box, select a file from your computer, wait for upload to complete, add a message (optional) and send.

Supported files: Images, PDFs, Documents, Spreadsheets, Videos (up to 25MB)

Editing & Deleting Messages

Edit Message

Hover over your message, click the three-dot menu (...), select "Edit", make your changes, click "Save". Edited messages show "(edited)".

Delete Message

Hover over your message, click the three-dot menu (...), select "Delete", confirm deletion. Note: Deleted messages cannot be recovered.

Replying in Threads

Keep conversations organized:

  • Hover over any message
  • Click "Reply in thread"
  • A side panel opens for the thread
  • Type your reply and send
Tip: Threads keep related discussions together without cluttering the main chat.

Searching Messages

Find past conversations:

  • Click the search icon in the header
  • Type keywords, names, or phrases
  • Filter by date or person if needed
  • Click a result to jump to that message

Make voice calls and share your screen with team members for better collaboration.

Starting an Audio Call

Open Direct Message

Open a direct message conversation with the person you want to call.

Click Phone Icon

Click the phone icon in the header.

Wait for Answer

Wait for them to answer and start talking!

Receiving a Call

When someone calls you:

  • A notification appears with caller info
  • Click Accept to answer
  • Click Decline to reject the call

Screen Sharing

Share your screen during calls:

To Start Sharing

During a call, click the "Screen Share" button. Choose what to share: Entire screen, Specific window, or Browser tab. Click "Share".

To Stop Sharing

Click the "Stop Sharing" button or the screen share icon again.

Tips for Screen Sharing:
  • Close sensitive information before sharing
  • Choose "Window" to share only one app
  • The other person can see everything on your shared screen

Drawing on Shared Screen

When someone shares their screen from the desktop app, you can draw on it:

  • Click the "Mark" or pencil icon
  • Use your mouse to draw
  • Choose colors from the toolbar
  • Click "Clear" to remove all drawings
Note: Drawing/marking is only available when screen sharing from the desktop app. This feature is not available in web-to-web calls.

Call Quality Issues

If the call is choppy or unclear:

  • Check your internet connection
  • Close other apps using bandwidth
  • Try moving closer to your router
  • Ask the other person to check their connection

Channels

Channels are group spaces where teams can communicate together. Unlike direct messages (one-on-one), channels allow multiple people to collaborate.

Joining a Channel

Public Channels

Click "Channels" in the sidebar, click "Browse Channels" or the "+" icon, find the channel you want, and click "Join".

Private Channels

You need to be invited by a channel admin to join private channels.

Creating a Channel

Click "+" Next to Channels

Find the plus icon next to Channels in the sidebar.

Select "Create Channel"

Choose the option to create a new channel.

Enter Channel Details

Enter a channel name (e.g., "project-updates"), add a description (optional), choose Public or Private, add members (for private channels).

Click "Create"

Your new channel is ready to use!

Channel Messaging

Messaging in channels works just like direct messages:

  • Send text, files, and reactions
  • Use @mentions to notify specific people
  • Use @channel to notify everyone in the channel
  • Create threads for focused discussions

Managing Channel Members

As a channel admin:

  • Click the channel name in the header
  • Select "Channel Settings" or the info icon
  • Go to "Members" tab
  • Click "Add Members" to invite people
  • Click the "X" next to a name to remove them

Leaving & Muting a Channel

Leave Channel

Click the channel name in the header, select "Leave Channel", confirm your choice. Note: You can rejoin public channels anytime.

Mute Channel

Click the channel name, select "Mute Channel", choose mute duration. You'll still see messages, but won't receive notifications.

Activities & Tasks

Activities are tasks or work items that need to be done. BitoLink helps you track activities from creation to completion, with optional approval workflows.

Creating an Activity

Method 1: From a Channel Message

Quick Create

Type your message describing the task, select "Activity" type (instead of Informational), click Send, then fill in the activity details.

Method 2: From Activities Page

Full Create

Go to Activities in the sidebar, click "Create Activity", fill in the details, and click "Create".

  • Go to Activities
  • Find your assigned activity
  • Click on it to open details
  • Click "Start" to change status to "In Progress"
To Mark Complete
  • Open the activity
  • Click "Mark as Done" or change status
  • Add any final comments

Adding Comments & Subtasks

Comments

Open an activity, scroll to Comments section, type your comment and click "Post". Use for progress updates, questions, and sharing info.

Subtasks

Break large activities into smaller pieces. Open an activity, click "Add Subtask", enter title, assign (optional), and check off as you complete.

Filtering Activities

Find specific activities quickly with filter options:

  • By Status (To Do, In Progress, Done)
  • By Assignee (your activities or others')
  • By Priority (Critical, High, Medium, Low)
  • By Approver
  • By Date Range

Activity Approval Process

If Approval Required

Create activity with all details, select an approver, activity goes to "Pending Approval", approver reviews and either Approves (moves to To Do) or Rejects (needs revision).

If No Approval Needed

Activities go directly to "To Do" status. You can start working immediately without waiting for approval.

Notifications

BitoLink notifies you about important events to keep you informed of what's happening.

Viewing Notifications

  • Click the bell icon in the header
  • See all your recent notifications
  • Click any notification to go to that item
  • Unread notifications show a red badge with a count

Managing Notifications

Mark as Read

Click a notification to mark it read, or click "Mark All as Read" to clear all notifications.

Notification Settings

Go to Settings > Notifications to choose which events trigger notifications, enable/disable browser notifications and sound alerts.

Browser Notifications

Get notifications even when BitoLink isn't your active tab:

To Enable
  • Go to Settings > Notifications
  • Turn on "Browser Notifications"
  • Click "Allow" when browser asks
To Disable
  • Go to Settings > Notifications
  • Turn off "Browser Notifications"

Your Profile

Customize your profile to help teammates recognize you and know your availability.

Editing Your Profile

Click your avatar, select "Edit Profile" or go to Settings > Profile:

  • Display Name - How your name appears
  • Profile Picture - Your photo or avatar
  • Job Title - Your role in the organization
  • Department - Your team or division
  • Location - Where you work from
  • Phone Number - Contact number

Uploading a Profile Picture

  • Go to Edit Profile
  • Click on the avatar placeholder
  • Select an image from your computer
  • Crop if needed and click "Save"
Tips: Use a clear photo of your face. Square images work best. Minimum size: 200x200 pixels.

Set Custom Status

Click your avatar, select "Set Status", choose an emoji and type a message, set how long it should last (1 hour, 4 hours, Today, This week, Custom date), and click "Save".

Examples:

  • ☕ "In a meeting" (1 hour)
  • 🏖️ "On vacation" (until Monday)
  • 🎯 "Focusing, please message" (4 hours)

Downloading the Desktop App

Windows
  • Go to Settings > General
  • Click "Download for Windows"
  • Run the installer
  • Follow the setup wizard
Mac
  • Go to Settings > General
  • Click "Download for Mac"
  • Open the .dmg file
  • Drag BitoLink to Applications
Linux
  • Go to Settings > General
  • Click "Download for Linux"
  • Make AppImage executable
  • Run the application

Updating the Desktop App

BitoLink checks for updates automatically:

  • When an update is available, you'll see a notification
  • The update downloads in the background
  • Click "Quit & Install" when ready
  • App restarts with the new version
Manual Check: Go to Settings > General and click "Check for Updates".

System Tray

The desktop app lives in your system tray:

  • Single click: Open/show BitoLink
  • Right click: Menu with options (Open BitoLink, Check for Updates, Quit)

Desktop Notifications

The app shows native system notifications:

  • New messages appear even when minimized
  • Click a notification to open that conversation
  • Notifications respect your Do Not Disturb settings

Adding a New User

Go to Admin > User Management

Access the user management section.

Click "Add User"

Open the add user form.

Enter User Details

Email address, Name, Role (Admin or Regular), Permissions.

User receives login instructions via email.

Editing & Deactivating Users

Edit User

Find the user in the list, click "Edit", update their information, and click "Save".

Deactivate User

Find the user in the list, click "Deactivate", confirm the action. User can no longer log in.

Common issues and how to resolve them.

Can't Log In

Not Receiving OTP Email

Check your spam/junk folder, wait a few minutes and try again, verify your email address is correct, contact your administrator.

OTP Says "Invalid or Expired"

Request a new OTP, enter the code within 10 minutes, make sure you're using the most recent code.

Messages Not Sending

Messages Stuck on "Sending"

Check your internet connection, refresh the page (Ctrl+R or Cmd+R), try logging out and back in, clear browser cache if problem persists.

Notifications Not Working

Not Receiving Browser Notifications

Check browser permissions (click lock icon in address bar), ensure notifications are enabled in Settings, check if your browser is blocking notifications, try a different browser.

Audio Call Issues

Can't Hear Other Person

Check your speaker/headphone volume, make sure correct output device is selected, ask the other person to check their microphone, try leaving and rejoining the call.

Other Person Can't Hear You

Check if you're muted (microphone icon), ensure browser has microphone permission, test your microphone in system settings, try a different microphone/headset.

Screen Sharing Issues

Can't Share Screen

Grant screen sharing permission when prompted, try sharing a specific window instead of entire screen, close and reopen the browser, check browser permissions in settings.

Desktop App Issues

App Won't Start

Restart your computer, reinstall the application, check for system updates.

App Running Slowly

Close other applications, restart the app, clear app cache (Settings > Advanced > Clear Cache), check for app updates.

Is BitoLink free?

BitoLink is provided by your organization. Contact your administrator for access.

Can I use BitoLink on my phone?

Yes, BitoLink works on mobile browsers. A dedicated mobile app may also be available.

How many people can be in a channel?

Channels can have unlimited members.

Is my data secure?

Yes, all data is encrypted and transmitted securely. Contact your admin for details about your organization's security policies.

Messaging Questions

Can I unsend a message?

You can delete messages you've sent, but recipients may have already seen them.

Are messages saved forever?

Message retention depends on your organization's settings.

Can I message someone outside my organization?

No, BitoLink is designed for internal team communication only.

Call Questions

Is there a time limit on calls?

No, calls can last as long as needed.

Can I record calls?

This feature may not be available. Check with your administrator.

How many people can join a call?

Currently, calls support one-on-one conversations.

Activity Questions

What's the difference between Activities and messages?

Messages are for communication. Activities are for tracking work that needs to be done.

Do I always need an approver?

This depends on your user permissions. Some users require approval, others don't.

Can I reassign an activity to someone else?

Yes, if you have permission. Use the "Reassign" option in the activity.

Account Questions

How do I change my password?

BitoLink uses email verification (OTP) instead of passwords.

Can I have multiple accounts?

Each person should have one account with their work email.

What happens if I leave the organization?

Your administrator will deactivate your account.
